1. What we collect
- Account data: name, email, phone/WhatsApp, nationality, country of residence, preferred language, and (optionally) passport number.
- Case data: the details of your enquiry, destination country, visa type, dates, notes, and questions.
- Documents you upload: passport copies, photos, bank statements, invitation letters, previous visas, and forms.
- Messages: all chat messages with our team, including timestamps and the IP address from which each message was sent.
- Payment data: amounts, currency, invoices, and payment status. Card details are processed by Stripe/PayPal and never stored on our servers.
- Consents: the timestamp, IP address, and document version each time you accept the disclaimer, Terms, or an authorization.
- Technical data: device/browser information and cookies necessary for the site to function (language preference, session).
2. Why we use it
To provide the services you request (form filling, document review, appointment guidance, submission/collection runs), to communicate with you, to generate required authorization letters and invoices, to comply with legal obligations, and to keep records of our service delivery. With your separate explicit consent, to forward a case summary to an independent lawyer you asked to be connected with.
3. How we protect it
All traffic is encrypted (HTTPS). Documents and personal data are stored encrypted at rest. Access to your documents is possible only through authenticated, time-limited signed links. Uploads are scanned for malware. Staff access is role-restricted and every admin action is recorded in an audit log. Admin accounts support two-factor authentication.
4. Who we share it with
- Our staff and field agents, strictly as needed for your case.
- Embassies and visa application centers — only the documents needed for a submission/collection you authorized.
- An independent lawyer/expert — only with your explicit consent for that referral.
- Service providers that host our infrastructure, send notifications (email/SMS/WhatsApp), and process payments (Stripe/PayPal), under data-processing agreements.
- Authorities where required by law.
We never sell your personal data.
5. Retention and deletion
You may request deletion of your personal data at any time from your profile. We will delete or anonymize your personal data, except: chat logs, case records, consent records, invoices, and audit logs are retained as anonymized business records for [X years] as required for legal, accounting, and dispute-resolution purposes. Uploaded documents are deleted [X days/months] after case closure unless you ask us to retain them.
6. Your rights
Access, correction, deletion (as limited above), objection, and a copy of your data in a portable format. Contact: privacy@[domain].
7. Cookies
We use only essential cookies (session, language, security) and, if enabled, analytics cookies with consent.
8. International transfers
Data may be processed in [hosting regions]. We apply appropriate safeguards for cross-border transfers.
9. Children
Our services are intended for adults. Applications for minors must be submitted by a parent or legal guardian, who provides the minor's data.
10. Changes
We will post updates here with a new date and notify you of material changes.
